New Project Notes Feature

The New OPM project notes facility provides a fully featured online whiteboard for each project, all project users can collaborate, share ideas, brainstorm, edit and add text as required, simple to use and very effective. Simply click on the notes tab in any project, add your text and click the update button. Your changes will then be visible to all project users online!

File and task association

We have now added the ability for files uploaded to projects to be linked to tasks.

Users viewing tasks can now see and open associated files for that task in a pop-up window directly from the task window.

The linked task is also now also shown in the file approval page. To link a file to a task simply upload the file and select the task to link it to after adding the file description. Multiple files can be linked to each task if required.

Latest changes to files section of projects

Large files, especially photos are now displayed in a larger pop-up window, over-sized files are automatically reduced to a width of width 800 pixels, the height is left in proportion so as not to distort the image.

We have also made improvements to the viewing of the files area when there are multiple folders, sub folders and files, the system now displays the files within the folder that is selected regardless of the amount or complexity of the folder structure.

File comment and approval

New improvements to the file comment /approval feature in OPM Creator have recently been added following numerous user requests.

The improved layout for the file comment/approval area includes a larger input box for users to add comments. The audit box has also been extended to give improved visibility of comments and approvals already added. To view or add comments/approvals to files in OPM Creator just click on the "tick" icon next to the file name in the files section of any project.

New online user help centre

We have now installed an online user support centre that offers a knowledgebase of frequently asked questions, a download area with useful downloads and a support area where users can submit support questions. The system automatically checks the knowledgebase to see if the question has been asked before and suggests solutions if at all possible.

New hide links feature added

OPM Creator includes a general links section that can be accessed by all your active users, this links section allows you to add link categories and links to external websites providing a useful resource for your OPM Creator users.

We have just added a new feature that allows you to switch this facility on and off for each user if required.

To do this simply...

Simply login to your OPM Creator system and go to the administration/users area.

Click on the user name.

Change the "Access to Links Section" filed to Yes or No as required.

OPM Creator awarded Index Voucher

This pilot project invited small medium enterprises (SMEs) based in West Midlands UK to apply for an innovation voucher that they can use to purchase academic support to assist in a business innovation. A total of 80 randomly selected businesses (including OPM Creator) were given innovation vouchers to the value of £3000 each to improve their innovation capability.

We plan to use our voucher to further develop our web based project management software in line with customer feedback.

File upload progress bar

We have now added a progress bar to the file upload facility within projects, the progress bar shows the user that the file is being uploaded, this is especially useful for large files that can take some time to upload to the system, depending on you connection speed to the internet. We are currently working on a multiple file upload facility.... watch this space.

Activate/Deactivate Users!

You can now activate and deactivate users as you require, this way you can have an unlimited amount of users registered to your system but only the amount of users you are licensed for active at any one time.

This is ideal if you have many clients, partners or employees that need access on a project by project basis, simply activate their details for their project and deactivate their details when the project is complete freeing up the user space for another user.

Simply purchase the number of users you need active at any one time, you can upgrade your users online at any time.

New task tab

A new "Tasks" tab has now been added to the project page in OPMcreator.

This new tab will show you tasks for all projects you are authorised to view, the filter options on this page also allow you to view tasks on a project by project and/or user basis, you can also view overdue tasks as required.

File upload email feature

When you now upload a new file to a project in OPMcreator you are given the option to alter the "standard" text in the notification email before you send it. This is useful if you need to describe a file that you have uploaded to your project users.

You can change the "standard" text for the email in the "Adminstration/Modify" area of your OPMcreator system.

If you don't select to send the email to all users or select users from the list, no email notification is sent.

New Year, New Features!

We are busy once again working on new features for OPMcreator planned for release early in 2007.

1. The first new feature will be the addition of a "Task" tab in the "projects" area of the system. This page will display ALL tasks for ALL projects you are authorised to view. The current version of OPMcreator only allows you to view your own tasks for all projects or all tasks for projects on a project by project basis. This new feature will also include filters to allow you to display task information by project, user or progress.

2. When uploading files to projects the next new feature will allow the user to override the text that is sent by email to other project users, this new feature will give the ability to type a message to the other project users specifically about the file being uploaded.

We have many more new features planned for 2007... watch this space!

OPMcreator Olympics success story

Rojac Tooling Technologies was founded in 1969 and established itself as a market leader in the manufacture of mould tooling, jigs and fixtures, master models, patterns and prototypes.
Much of its core business was within the automotive and aerospace industries with clients including Airbus, British Aerospace, BMW and Rolls Royce as well as Formula One motor racing teams. But the West Midlands company has diversified over the years in order to reach new markets and has embraced new technology too.

This has not only helped Rojac to win new business, it has also improved efficiency and the project management process for all clients. It was this commitment to the use of IT that helped the firm land gold at the last Olympics and should provide inspiration to other local businesses to make full use of e-business.

When it was announced in July 2005 that London would be hosting the 2012 Olympics it sparked scenes of celebration across the country. And since then, businesses all over the UK have been told that there is the potential to win contracts in avast array of areas associated with the sporting showpiece. But many think an Olympic contract, in reality, is beyond their reach and that it will just be large corporations in the capital that win business ahead of the event.

Rojac, however, is living proof that Olympic success is achievable for companies outside London as it played a major part in the opening ceremony at Athens 2004. The Olympics & E-BusinessIn August 2003, Rojac received an enquiry via its website that would have a major positive impact on business and raise its profile on a worldwide scale.

“From day one, e-business played a big part in us landing the Olympic contract,” said the Managing Director of Rojac ToolingTechnologies. “The company that was organising the opening ceremony at Athens 2004 found us through an internet search engine and logged an enquiry. “I am not totally sure what they searched for but it was associatedwith five-axis model making which isa very specialist machine which very few firms have the expertise to use. ”The enquiry basically asked Rojac if it was capable of helping to create giant statues of Greek Gods to be used during the opening ceremony in Athens the statues with CAD. “IT played a part in us landing the contract through the web, but then it was also crucial at every step of managing the project and creating the four statues,”.

The first stage was to deliver a prototype of the largest statue. The final version would be 15 metres high but the prototype was just six feet tallbut proved that Rojac had the know-how to deliver.

Because of the logistics of the project, the web-based project managment and collaboration tool OPMcreator proved a crucial device in the smooth running of the contract.

The client was very often in Athens, but the ability to check progress and liaise with engineers online meant the need for meetings and travel was cut to a minimum.

When it came to the manufacturing stage, it was like a military operation. The largest of the four statues was made out of oasis/foam blocks in five three-metre sections at Rojac’s headquarters in Wednesbury. Then each section was CNC machined to create five giant jigsawpieces. The client could watch this process live via a web-cam before the pieces were assembled before being shipped over to Greece for the ceremony.

And the opening event of the games proved to be a proud day for West Midlands manufacturing. The 15-metre statue stood loud and proud above everything in the water-filled Olympic Stadium before it was exploded into several pieces on which scenes from past games were beamed. In a Russian doll effect, the next statue was revealed by the explosion of the previous one. It was a dramatic start to the Olympics and one of the most exciting moments in Rojac’s history. "It was a fantastic moment for everyone involved in the project. "And it proves that if a company from Wednesbury can land a deal at the Olympics in Athens, there must be hundreds of opportunities for firms in the West Midlands when it comes to London."But we couldn’t have done it without our commitment to IT. It helped us win the contract in the first place and then played a major role in the design and management of the project."

Rojac worked on this project as a supplier to Stage One CreativeServices who in turn were commissioned by Jack Morton Public Events.

New reports feature now live

File comment and approval

1. The ability for users of your OPMcreator system to add comments and approvals to files uploaded to projects in your system. This allows for users to discuss files uploaded, approving or commenting on the files in projects, all approvals or comments are sored in an audit trail for future reference. This feature is especially useful for gaining client approval or feedback on files uploaded to projects or for teams to discuss files added to projects.

Forum email notification

2. The ability to email all or selected users when adding a new forum topic or replying to an existing topic is now live. This feature will is useful in alerting project users of changes to project forums.

Hide folders in projects!

It is now possible to "hide" folders from certain users in projects, this is especially useful if you invite your clients into projects as you can create folders and sub-folders that are not visible to them.

To create a hidden folder/sub-folders you simply assign the users in the project that need to have access to the folder using the "+folder" icon (maintain a folder here). This option is only available to top level folders but any files or sub-folders added to this folder will not be visible to users who are not assigned to the top level folder.

The option to assign users to folders is only available to "Administration" users of your OPMcreator system.

New user packages

Additional user packages have now been added to OPMcreator giving far more flexibility for our customers;

User packages now available are;

5,6,7,8,9,10,11,12,13,14,15,16,17,18,19,20,25,30,40,50,75,100,200,300 & 500.

We have also modified our pricing page to clearly reflect these changes, please click here to view the new pricing page and user packages available.

If you would like to upgrade your user package simply go to the "administration/modify" area of your OPMcreator system.

We have now added "assigned user" and "end date" to the project tasks screen, we have also added the "due date" to the My tasks screen. These changes had been requested by a number of users. New - remember me checkbox at login!

We have just added a "remember me" checkbox to all OPMcreator login pages.

If ticked, the "Remember Me" checkbox on your login page will automatically log your account into OPMcreator when you return in the future.

This is a good idea if you are the only person using the computer.

It is a bad idea if it is a publicly accessible computer, or if you are sharing the computer with others.

Notes:

Occasionally OPMcreator might seem to forget that you have ticked the "Remember Me" checkbox- this is because the cookie that remembers your account information is set to expire after 6 months. If this happens to you, log in again with your OPMcreator username and password (and tick the box if you wish).

Proposed changes to user packages

We are currently looking into increasing the user packages available for OPMcreator.

User feedback has indicated that many of you would prefer smaller increments between user packages so that small upgrades are possible.

We propose to change the structure so that we have user packages from 5 to 50 in increments of 5, eg.. 5, 10, 15, 20, 25, 30, 35, 40, 45, 50, we will also still have 100, 200, 300 and 500 packages available.

The pricing structure will remain as it currently stands on our pricing page with user prices reducing at 5, 10, 25, 50, 100, 200, 300 and 500 users.

Changes to task email option

The option to send or not send emails to the assigned user of a task when a new task is added has now been added to OPMcreator.

When new task is created or edited the option to send emails to the user is set by default to "no" this can be changed on a task by task basis as required.

This will allow users to stop automatic emails being sent to assigned users if they are assigned to multiple tasks in a project.

Repeat billing facility

Repeat billing facility
For all our customers who pay monthly by credit/debit card for their OPMcreator system we have now added the optional facility for repeat billing. If selected, the customer’s card is re-charged automatically at the end of each month’s subscription eliminating the need for the customer to re-enter their card details. Customers who choose the repeat billing facility can cancel this option at any time.

Amex credit card payment coming soon...

American Express is a widely used credit card and will enhance our payment options especially for many of our customers based in the US.

We expect Amex to be fully integrated into our World Pay system within 4/5 weeks.

Latest changes

We have been hard at work again upgrading OPMcreator...

The latest changes to be added include;

1. We have just added the facility to allow users using OPMcreator on our 30 day free trial to subscribe at any time during the trial period. They simply go to the "upgrade" tab in the administration area and follow the link to purchase the system. We have found that many of our free trial users decide to go ahead and purchase OPMcreator before the end of the free trial so this additional feature will be used extensively.

2. We have also simplified the "intro text" feature in the administration area. You can still add up to two lines of text to the "intro text area" but we have now added two separate input boxes to simplfy this feature, you can use basic html if required and the system automatically adds a space if you don't use one of the lines.

Don't forget, all upgrades to OPMcreator happen automatically and are free of charge and we regularly review and improve our system.

How secure is my data?

Customers of OPMcreator enjoy the protection and peace of mind that only our state-of-the-art hosting facility and security management can provide.

Our Security and Monitoring Measures include;

Physical Security - Our servers are located in Park Royal Data Centre (London, UK) . The server type is Cobalt RAQ4
Data Centre Features - All our data centres are protected by stringent security precautions to control access, environmental controls to maintain peak hardware performance and emergency power supplies to ensure that our service to you is not affected by network power outages.
Access Controls - Our data centres can only be accessed through magnetically locked doors that can only be unlocked with a special swipe card. All centres are manned 24/7, and are fully protected by CCTV. Customer access is heavily restricted and permissible only by prior appointment.
Environmental Controls - Our servers are protected against fire outbreaks using a suppressions system designed to extinguish a fire within seconds without leaving a residue.Centres are equipped with sophisticated air conditioning systems set at 20 degrees C and 50% relative humidity to ensure the system operates as efficiently as possible.

We have just added the facility to duplicate projects to OPMcreator!

This exciting new feature allows you to quickly and easily duplicate any existing project.

The facility will automatically duplicate the project including all folder structures, files, tasks, users, emails etc..

This facility is ideal for creating and duplicating project templates, simply create any number of standard template projects, setup any standard folder structures you require, upload standard documents, set standard tasks etc.. then simply duplicate the project template you require and edit the details whenever you wish to set-up a new project based on the template.

Users of your OPMcreator system can now add your unique login page to their favourites/bookmarks by simply clicking on the link on your login page

Track time and costs on tasks and projects
We have now added the ability to track estimated against actual costs and hours for tasks and projects, simply add a rate per hour to tasks if required and the system will now track costs in a simple but effective format.

Sub categorise your projects
You can now add a "sub category" to your projects, this is completely customisable by you and could be typically used to categorise projects into groups for example by client, programme etc..
This new feature will allow you to view your project lists far more effectively in the "projects" section of your system providing a filter to allow you to display projects by group and status.

Print project lists
In the "Projects" section of your OPMcreator system you can now print lists of projects, simply select the "Print list" link.
This system prints the projects that are displayed on the screen so you can print lists of projects filtered by status or sub category if required.

Duplicate projects - Coming soon!
Over the next few weeks we will be adding the facility to "duplicate" projects.
This new feature will allow you to duplicate any existing project in your system, the duplicated project will include all details included in the original project including, files and folder structures, tasks, users, emails and forum topics and replies. This facility will be ideal for creating a basic template model for standard projects that could include standard folder layouts, files, tasks etc..
